To make COVID-19 related policies easier to search for and locate, take the time to do a few things to ensure your policies' searchability so your staff can find the policies they need when they need them.
Include Search Terms Users Search for
The PolicyStat search indexes every word of the title and body of the policy and then prioritizes search results based on words searched for that match policy titles or content. For COVID-19 related content, make sure terms users are searching for are included in the title or body of the policy, such as, 'COVID-19', 'novel coronavirus 2019', 'C-19', or '2019-nCov'. (A bad example of a COVID-19 policy wouldn't have any reference to COVID-19 in the title or body of the policy.)
Put It in the Title
The PolicyStat search prioritizes search results based on the title first. To ensure a COVID-19 policy turns up towards the top of the search results, add 'COVID-19' to the title which in turn will prioritize that policy in the search results for 'COVID-19'. Policies with COVID-19 in the body of the policy will also display but lower in the search results.
To have a group of related COVID-19 policies and procedures come up in search, use reference tags. When added to one or more policies, those policies will be returned in a search result when that tag is selected under the Tags search.
Note to site admins: Tags can be added to policies under the Policy Properties page or by using the Bulk Admin override function.
Find COVID-19 Policy Gaps
In addition to the above tips. consider using PolicyStat PolicyStatistics to see top policy views, identify policies you might be missing or that may not be as searchable as you thought. This analytics tool allows you to identify and address policy gaps as they occur. The search statistics allow you to see what policies users are searching, selecting, or finding no results for so that you can respond by following one or more of the above tips to increase searchability or by adding a new policy.
