There are several considerations for project teams as you prepare to implement PolicyStat at your facilities. They include a focus on your needed resources, content, and project timeline.
Successful implementations have appropriate resources dedicated to the project. These include a project lead who will manage the timeline, standardize site data across the system, ensure deliverables from the facilities, and coordinate internal communications. We recommend two site administrators per facility, who will act as subject matter experts, participate in implementation calls and provide deliverables, and will serve as the first line of support once live. The project also needs an IT lead who will coordinate the Active Directory and Single Sign-On integrations and provide the method of access to PolicyStat (generally this means posting an access link in a centralized location).
Regarding content, now is a great time to look at how your documents are categorized across your facilities and try to settle on a standard. You will need to gain access to the electronic version of your documents; Word is the preferred format but PDF is acceptable if Word docs cannot be found. Historical dates must be provided on your documents for us to capture them. Think about being prepared to move forward with system-wide documents first, so they will be available to your facilities as they implement.
The implementation timeline is affected by many factors, and your Client Success Manager will discuss these in the Implementation Kickoff. We’ll consider the variability in your documents from one facility to another, the number of facilities, the number of documents to convert for each facility, and so on. Together we will develop the best approach for your system.
