Advanced Properties
There are a number of advanced properties available on the properties tab that are not required to save the draft, but may prove useful to meet your display and review cycle needs.
Reference Tags
Reference Tags are terms, numbers, phrases, or any other representation that can be used to categorize and group similar documents for searching and reference through the PolicyStat search tool.
Reference Tags are assigned to a document by selecting an option from the list or by creating an entirely new reference tag by entering it here.
Scheduled Effective Date
The Scheduled Effective Date feature adds an optional step between the final approval and the Active status. This feature provides the ability to delay the pending policy moving to Active to a specific date or a specific number of days past when that final approval was provided.
This feature allows for a policy to become active just in time with a new regulation, allow a period for required parties to become trained about the new policy prior to it becoming active (Period of Education), or any other similar reasons.
Advanced Properties Collapse Menu
Below the Effective Date section is a collapsible Advanced Properties menu. Clicking the section header will expand the menu and allow you to see the other options.
- Hide PDF Watermark: The default print option for a policy document includes a "COPY" watermark. If a policy document is to be used as a form (i.e. - printed and read frequently) the Policy is a Form check-box removes this watermark from the printed version.
- Visibility Restrictions: Circumstances may require a document to be restricted from being located in a search or otherwise visible by users without View Restricted (or higher) privileges.
This can be useful, for example, if you have a policy that should only be visible to certain Human Resource personnel. Setting the policy as Restricted will prevent anyone who does not have View Restricted permissions or higher for the assigned Area from being able to locate or view this policy.
