As a Site Admin, it may be useful to identify a list of all users in your site who are serving as Approvers on an Approval Workflow.
To identify which users are assigned to an Approval Workflow, generate an Approval Workflow report.
- Click Admin
- Click Approval Workflows
- Click Bulk Approval Workflows (located in the blue bar in the top right).
- Click the Download Approval Workflows button.
NOTE: This will download as a TSV (tab separated value) report. These reports typically open with spreadsheet programs such as Microsoft Excel.
To use the report to gather information, you do not need to complete the steps to edit the Approval Workflows.
- Edit your approval spreadsheet.
Use a spreadsheet program like Microsoft Excel or Google Docs to open the PolicyStat-approval-flows-demo-lc.csv file you just downloaded.
It should look something like this:
Any row that contains data in the first column is the start of a new approval flow. The first cell of that row is the name of the approval flow, all other cells are the names of the approval steps (if they have names).
Every row after that until a new approval flow is started contains the users for each step.
To create a step thay any user can approve, use the special [ANY] username in a step. A step containing the [ANY] username cannot appear with any other username.
You can optionally configure a step to include the policy owner by adding the following special username to the list of users for that step:
Save your spreadsheet as a CSV file.
Use your spreadsheet program to save your changes in the CSV file format. If you're using Microsoft Excel, you can follow these instructions
Click Chose File to select the CSV you wish modified.
- Click Update Approval Workflows.
