- To understand why you are a Collaborator on a policy.
- To understand why you may be receiving notifications about collaborating on a policy.
You may be receiving email notifications in PolicyStat letting you know that a comment was made on a policy document you are involved in. That email notification looks like this:
There are several different reasons why you may be receiving this email. Here are the qualifications for being included as a Collaborator on a policy:
- You are the Policy Owner
- You are an Approver for the Approval Workflow assigned to that policy
- Someone added you as a Collaborator (using an @-mention in the comments)
If you were previously the Owner of a policy, or part of its Approval Workflow, but you are then removed, you will remain as a collaborator on that policy until a new version is made active.
In order to tell who is a Collaborator on a policy, just click inside the "Add Comment" box. Below, all collaborators will appear in a list.
Note that users who have opted out of comment emails are listed as well. In order to ensure these users have received your comment, you may want to send them a personal email to advise them of the comment.
OPTING OUT OF NOTIFICATIONS
In order to opt out of comment notifications, click the "Notifications" link in the top right corner of any screen in PolicyStat.
Scroll to the bottom and you will find your notification settings. Uncheck the box next to the "Collaboration Comment" notification.
Keep in mind that while disabling this notification will decrease the number of emails you receive, it may prevent you from receiving important information regarding policies you are involved in.
